The Financial Service Assistant is responsible for managing a wide variety of functions related to our four custodians. This role requires a high level of attention to detail and strong organizational skills to ensure the seamless operation of account management, service requests, compliance, and client onboarding.
Key Responsibilities:
- Follow up on E-Signature approvals and ensure the execution of Advisory Agreements.
- Maintain accurate records of account openings and updates.
- Manage money movement, tax reporting information, and RMD calculations as needed.
- Provide online assistance and support to clients.
- Assist in the processing of 401(k) rollovers, including follow-up on rollover deposits.
- Monitor and process daily alerts and notifications from all custodians.
- Stay informed on custodial system updates and deadlines through email notifications.
- Process check deposits, confirm deposit postings to accounts, and maintain the deposit ledger.
- Record information for closed accounts and ensure proper filing.
- Maintain deposit records and manage secure messaging.
- Provide assistance with special projects as needed, ensuring timely and accurate completion.
Annuity/Insurance Support:
- Input applications and follow up on additional information requests.
- Manage the approval process and mail out policies upon receipt.
- Post policy summaries to the CRM system (Red Tail).
Client Account Management:
- Review client accounts regularly to assess liquidity needs.
- Perform final Quality Assurance checks during client and account onboarding.
- Provide complex client customer service management.
Qualifications:
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Familiarity with custodial systems and processes.
- Excellent communication and follow-up skills.
- Experience with financial services, specifically in account management and client services, is preferred.
